Information for previous clients of the Staff Counselling Service

If you have been a client of the University’s Staff Counselling Service you can obtain access to your notes through a Data Subject Access Request.

Data protection law gives people the right to see personal information which the University holds about them. They exercise this right by making a subject access request.

Case notes are kept in line with the Service Privacy Notice and Retention period.

Staff Counselling Service case notes are kept securely and discreetly as part of the University Counselling Service. Such information is only processed by Service managers as required.

A subject access request should be in writing so that it is clear what information is being requested.

Verifying identity

Before we release information to you, we need to be confident of your identity, so we may ask you for additional information in order to verify it, for example a copy of your staff card, or passport.

Timeframe

We will normally answer requests for personal information made under data protection law within one month of receiving your request, and all information necessary to answer your request.
